Theatre Bookings Executive

The Opportunity
Job Objective:
 
To contribute to the smooth running of the Theatre Bookings Process. To initiate and carry out intelligent and efficient Theatre scheduling for the most economical and profitable outcome. To adhere to the Theatre booking guideline and deal with queries efficiently, professionally, and promptly. 
 
Core Responsibilities:
  • Confident and creative scheduling of theatre slots – liaising with Surgeons personal assistants and practices to administer theatre bookings. Taking ownership and directing the bookings, moving slots around if you can make efficiencies or to fit another booking in. 
  • Never saying ‘no’ to a booking – liaising closely with Theatre Manager as to how we can sensibly fit a booking in to make the most economic use of scrub teams, not having them hanging around in between procedures. 
  • Ensuring anaesthetists are booked and confirmed in advance – liaising with anaesthetic group practices and individual anaesthetists.
  • Ensuring consumables are arranged prior to surgery…. and appropriately tracked/ billed. 
  • Financial transactions - ensuring monies are taken legitimately and efficiently and billing consultant’s offices and companies. 
  • Professionalism - ensuring the patient journey is smooth and reassuring and that their booking is confirmed in a professional and timely manner.  
  • Always looking for opportunities to improve the bookings’ function. 
 Key Performance Indicators (KPI):
  • Take payments in full, from patients prior to procedure. 
  • Ensure patients booking confirmation is sent within 48 hours of booking. 
  • Ensure patients have returned their pre-operative questionnaire; it is uploaded onto the Patient Management System and passed to the Ambulatory Team to identify any potential problems before admission date. 
  • Ensure Anaesthetists are booked and confirmed prior to procedure date. 
  • Ensure all products and consumables have been ordered ahead of procedure. 
  • Ensure consultants’ diaries are open, updated, and correct and allocated to the correct consulting room. 
  • Produce daily and monthly performance information. 
  • Driving improvements in the bookings function including performance reporting automation and IT enhancements. 
  • Cover CCP bookings Support. 
  • 100% compliance to e-learning and mandatory training.
