We are seeking a proactive and organised HCA Lead to coordinate our outpatient services and provide leadership within our Healthcare Assistant team. Based at the prestigious Cadogan Clinic—a multi-specialist plastic surgery and dermatology day hospital in the heart of Chelsea—this is a key role focused on delivering high-quality, patient-centred care through effective operational planning, communication, and collaboration.
As a member of our Junior Leadership Team, you will play a crucial part in ensuring the smooth delivery of daily clinical services, supporting both patients and consultants, and upholding our exacting standards of care and professionalism.
Your Role at a Glance
Reporting to the Clinic Manager, you will:
Lead and coordinate the daily activities of the HCA team.
Manage staffing rotas, room allocations and the delivery of outpatient services such as mole mapping, bloodwork, swabs and minor procedures.
Ensure high standards of health & safety, stock control, and operational readiness across outpatient areas.
Act as a key communication point between clinical teams and support departments, maintaining efficiency and alignment throughout the day.
Support onboarding, development and supervision of junior team members.
Key Responsibilities
1. Operational Coordination & Daily Planning
Develop and manage the daily rota, ensuring sufficient cover for all procedures and activities.
Allocate minor procedures and clinic tasks in collaboration with the Reception Lead and wider team.
Maintain awareness of service flow and patient scheduling, adapting allocations as needed.
2. Patient Safety & Clinical Support
Oversee and document risk assessments for paediatric patients in line with clinic protocols.
Act as first responder to outpatient team queries, ensuring timely and appropriate resolution.
Assist with specimen handling, liaising with external labs and maintaining logbook integrity.
3. Theatre & Minor Operations Support
Monitor the Theatre Whiteboard to ensure staffing and scheduling accuracy.
Communicate updates or cancellations to the Clinic Manager, including patient ID and context.
Support minor procedures, including bloodwork and LA appointments, as needed.
4. Stock & Equipment Management
Oversee outpatient stock levels and ensure accurate distribution according to the stock map.
Conduct weekly stock checks, rotate inventory to prevent waste, and report issues promptly.
Collaborate with the Procurement Lead and Clinic Manager to align stock levels with clinical demand and cost control goals.
5. Team Support & Collaboration
Share real-time updates on consumables and local anaesthetic (LA) preferences with the Theatre Manager.
Work clinically during quiet periods to ensure full team integration and efficiency.
Support the Clinic Manager with onboarding, training, and competency planning for new starters.
Submit monthly prescription logs to Finance and Dr. Mayou in line with internal deadlines.
